Cloud Storage and Backup: What the Difference Actually Is
Sync is not backup, and confusing them is how people lose files. What cloud storage does, what a real backup needs, and how to keep an archive that lasts.

Most people believe their files are backed up because they are in a cloud folder. That belief is wrong in a specific and consequential way, and it is the reason people lose things they thought were safe.
Sync is not backup
Sync keeps copies identical. Change a file on one device and the change appears everywhere. Delete a file on one device and it is deleted everywhere.
That last sentence is the whole problem. Sync propagates mistakes faithfully. A deletion, an overwrite, a file encrypted by malware — all replicate to every copy within seconds.
Backup keeps a separate copy that does not change when the original does. If the original is deleted or damaged, the backup still holds what was there.
Most cloud storage services do offer version history and a recycle bin, which provides limited backup-like protection. The retention window is finite — frequently thirty days — and it is designed for accidental deletion rather than for a problem you discover months later.
The practical position: cloud sync is convenience and partial protection. It is not a backup strategy on its own.
What cloud computing actually means
Briefly, because the term covers several things.
Storage — your files on someone else's servers, reachable from anywhere.
Applications — software running remotely, used through a browser.
Computing — processing power rented rather than owned, which is what businesses mean by cloud.
For a home user, the first two are what matter, and the trade is the same in both: convenience, access from anywhere and someone else handling the hardware, in exchange for a subscription, a dependence on a connection, and your data sitting on infrastructure you do not control.
What a real backup needs
The 3-2-1 rule, which has survived because it works.
Three copies of anything you care about — the original and two backups.
Two different media or systems — not two folders on the same drive.
One kept elsewhere — physically separate, so that fire, theft or flood does not take everything.
The practical version for a home:
Copy one: the files on your computer.
Copy two: an external drive, connected periodically, running an automated backup.
Copy three: a cloud service — either cloud backup specifically, or cloud sync with version history, understood for what it is.
What to add for real protection
Versioning. Not just the current state, but earlier ones. This is what saves you from a corruption you notice a month later.
Something not permanently connected. A drive that is always plugged in can be encrypted by malware along with everything else. A drive connected weekly cannot.
Automation. A backup that depends on remembering will not happen. Schedule it.
And testing. A backup that has never been restored is a hypothesis. Restore a file occasionally and confirm it opens.
Choosing a cloud service
Real cost at the capacity you need, not the headline price. The free tier is usually inadequate and the tiers jump.
What happens when you stop paying. Some services keep files read-only for a period; others delete. Know which before you depend on it.
Version history length, which is the feature that determines how much protection you actually get.
Sync behaviour — whether files are stored locally as well as remotely, or only downloaded on demand. On-demand saves disk space and means your files are unavailable without a connection.
Sharing controls, if you share.
Getting your data out. Bulk download of everything, in a usable form. Test this before you have a reason to need it.
Where the data is held, if that matters to you.
Keeping a personal archive
Different from backup: an archive is for things you want in twenty years — photographs, documents, records, correspondence.
Format matters more than storage. A file in a proprietary format from software that no longer exists is unreadable regardless of how carefully it was kept. Use open, widely-supported formats for anything archival: PDF, JPEG, plain text, common video codecs.
Storage media degrade. Optical discs deteriorate. Mechanical drives fail whether used or not. Solid state drives lose charge over years without power. No medium is permanent, which means an archive requires periodic migration rather than storage.
Migrate every few years. Copy everything to current media. This is the only genuinely durable strategy, and it is what libraries and archives actually do.
Organise so it is findable. An archive nobody can search is a collection of files. Consistent folder structure, dates in file names, and metadata where it helps. See organizing your digital files.
Keep the context. A photograph without a date or a description loses most of its meaning within a generation.
Print the irreplaceable ones. Paper in a box outlasts most digital media without any intervention, and it needs no format support.

What to back up
Everything irreplaceable: photographs, documents, records, correspondence, creative work.
Not everything on the machine. Applications can be reinstalled and the operating system can be rebuilt. A full system image is convenient and it is not what protects your memories.
Include the things people forget: phone photographs, messages you would miss, contacts, browser bookmarks, and anything held only in a single application's own storage.
Password manager exports, kept securely — because losing access to the manager loses access to everything else.
The short version
Sync copies deletions faithfully. It is not a backup, and version history is a partial and time-limited substitute.
Three copies, two media, one elsewhere — and one not permanently connected, so malware cannot reach it.
Automate it and then test a restore, because an untested backup is a hypothesis.
For an archive, open formats and periodic migration matter more than the storage medium — nothing lasts on its own.
